Is social virtual reality a suitable alternative for academic conferences? Empirical insights from a pilot study

Abstract

In light of the urgent need for sustainable alternatives to traditional academic conferences in the face of global environmental challenges, this study aims to explore the potential of virtual conferences. Although video conferences reduce travel-related emissions, they limit social interaction (Bonfert et al., 2022) and contribute to cognitive fatigue (Fauvile et al., 2023). Social Virtual Reality (Social VR) environments offer a more immersive and socially engaging format; however, empirical comparisons with conventional formats are scarce. A two-day academic conference was recently held on the TriCAT Spaces® Social VR platform. The event included keynotes, poster sessions, presentations and social activities. After the conference, 34 participants (50,8%) completed a standardised online survey. This combined validated instruments and self-developed items to assess interaction quality, format preference and the perceived advantages and disadvantages of Social VR. Participants reported high levels of acceptance and rated the Social VR environment as highly suitable for academic engagement. When asked to select their preferred format, 47% opted for in-person conferences, 38% chose Social VR and just 15% selected videoconferencing. The perceived benefits of Social VR included greater time efficiency, inclusivity and a stronger sense of social presence compared to video tools. However, limitations in non-verbal communication and informal exchange were noted compared to physical settings. Overall, the findings suggest that Social VR offers a promising middle ground between videoconferencing and in-person formats. It supports sustainability goals and fosters social connectedness, although current technical and interactional limitations remain. Future research should therefore explore design improvements and the long-term implementation of Social VR in academic settings.
